Key Responsibilities
SUMMARY:
Provide administrative support to a team of Directors, Administrators and Coordinators assisting with a variety of business development, marketing and practice administrative activities.
KEY RESPONSIBILITIES:
Assist with ensuring a seamless flow of daily operations to support teams of partners, counsel, associates, paralegals and timekeeping staff
Coordinate logistics between practice group leadership and office managers, HR, IT, Finance and other departments
Perform data entry and database management
Extensive calendar management of meetings, interviews, reviews, trainings and budget meetings
Prepare, compile and/or print presentations, manuals, reports and materials for meetings, orientations, training programs and retreats
Assist with distributing information to and from marketing and client development teams
Create and maintain weekly, monthly, quarterly and annual spreadsheets to track attendance, utilization, budgets, expenses, billable hours, events and other various reports
Oversee conference room arrangements and scheduling for meetings, video conferences and client appointments
Perform any and all other duties as necessary for the efficient functioning of the Department, Practice and Firm
Required Skills
1 – 3 years of legal marketing assistant, administrative and/or secretarial experience
Skilled with project coordination and follow up
Excellent verbal and written communication with strong proofreading skills
Possesses outstanding organizational and interpersonal skills
Highly efficient with great attention-to-detail
Proficiency in MS Word, Outlook, Excel and PowerPoint
Types a minimum of 55 WPM
High School Diploma required; Bachelor’s degree a plus!
