We are seeking a fractional marketing events coordinator for firm and joint sponsored events and to attend existing events sponsored by others that average four (4) per year. Qualified candidates must have proven experience as an event coordinator or similar role and familiarity with event promotion and marketing strategies.
Job Responsibilities:
• Understand requirements for each event.
• Well versed in managing all aspects of events including agenda planning, logistics, venue management and establishing event protocol, planning and execution across all events with attention to detail.
• Will work integrally with the marketing team, attorneys, and others on business development, client acquisition and retention and assisting in increasing the firm’s business opportunities, including creating funders, targets, as well as strategizing to initiate and advance conversations with current and prospective clients to cultivate and deliver new relationships and enhance existing client relationships.
• Serve as the lead project manager for events from initial creative design and pre-planning stages through on-site execution;
• Conduct site visits, select, and secure appropriate venues and negotiate and process contracts.
• Conduct promo item research, and order and arrange delivery of items.
• Prepare event proposals and manage event budgets ensuring that expenses are within the approved budget and process all related payments and invoices.
• Liaise with attorneys and marketing team as needed regarding invitations and mailing lists.
• Liaise with the CRM team to ensure client contact information and invitee lists for events are stored responsibly using relevant database.
• Collaborate with marketing team to create e-mail invitations with appropriate design and content, arrange for photography, and announce on social media including digital campaigns, all to increase attendance.
• Coordinate pitch materials and coordinate speakers relevant to potential and existing client needs, including driving forces behind targeted businesses and areas of practice and how the firm can add value.
• Additional tasks as required to support the firm’s efficiency
Requirements:
• Bachelor’s degree in public relations, marketing, hospitality management, or relevant field
• Proven experience as event coordinator – law firm experience a plus
• A proven track record of organizing successful events
• Proficient in MS Office
• Excellent vendor management skills
• Outstanding communication and negotiation ability
• Well-organized with multi-tasking skills
• Able to handle stress and remain calm
• Problem-solving ability
• Working knowledge of CRMS
• Working knowledge of digital campaigns and tracking them
• Positive, energetic, and professional attitude
• Membership in regional business and legal marketing groups and on boards a plus
Position Details:
• Fractional
• Pay range of $45 – $65/hr, commensurate with experience
